(4) EXCHANGE STEP BY STEP 1.. You have been allocated an exchange position and AU nominates you to the host university. 2.. You receive an e-mail with names and e-mails of fellow students going to the same host university as you. 3.. You receive information from the host university (or AU) on how to apply for admission.. 4.. You apply for admission as an exchange student at the host university (typically this includes application for visa, housing, etc.). 5.. You apply for admission to courses at your host university. 6.. You apply for pre-approval of courses to your Aarhus BSS study board. 7.. You study abroad. 8.. Check your AU e-mail frequently (incl. spam mail) and wait for information from your international coordinator (IC/BSS International) or the exchange university. •. (7) LANGUAGE PROFICIENCY REQUIREMENTS Aarhus BSS has negotiated best possible terms with the host university. Check MoveOn in order to find out what documentation your host university requires. •. If a language letter from Aarhus BSS International is sufficient it will be stated in MoveOn.. •. If a test is required (i.e TOEFL or IELTS) it will also be stated in MoveOn. •. (12) COVID-19 Follow instructions from the host university Check if there are any Covid 19 related requirements you must meet (vaccination, Corona passport/COVID certificate etc.) Exchange semesters can still be cancelled due to Covid 19. If your stay is cancelled: - You will not be awarded another place by AU/BSS - We will do all we can to help you sign up for elective courses here at AU instead. . (13) GRANTS / SCHOLARSHIPS Erasmus+ (EU Destinations and Norway, Iceland, Turkey) •. Automatically nominated for a grant. Non-Erasmus Destinations (Overseas Destinations): •. (15) ERASMUS+ GRANT Online Learning Agreement •. As an Erasmus student you are required to fill in an online Learning Agreement (a document similar to a pre-approval of courses). •. Must be approved by you, the International coordinator at Aarhus BSS and the partner university. •. If you change courses, the Learning Agreement must be approved again. Wait for information regarding courses from your host university – differs a lot on when and how you apply for admission to courses Always follow instructions from host university It is time consuming and requires an effort to find the correct courses – so make sure to stay updated on your host university’s procedures Check your study portal for information on previously pre-aseessed courses and read the evaluations in order to find tips and advice from previous exchange students Normally, your course enrolment is not binding, but check with your host university in order to be sure and sign up for courses that seem realistic to get pre-approved. . (22) PRE-APPROVAL - FACTS What is it?. What happens?. How?. Your assurance that you can transfer the credits you take at your host university to your degree programme at AU. (23) PRE-APPROVAL: 30 ECTS ELECTIVES Your degree consists of a specific number of ECTS: • Bachelor’s degree = 180 ECTS •. • •. •. Master’s degree = 120 ECTS. You are able to get a maximum of 30 ECTS credit transferred (electives) You must transfer a minimum of 20 ECTS from your exchange. What is equivalent to 30 ECTS? Check Credit Translation in MoveOn (e.g. 15 credits = 30 ECTS). Note: The ECTS information for a previously pre-approved course in MoveOn may not be correct. Sometimes it changes.. . (35) TOP 3 – REASONS WHY YOUR APPLICATION IS REJECTED 1) The documentation is insufficient (i.e. no list of required syllabus) 2) The course overlaps more than 30% to mandatory courses (check your academic regulations) 3) You have submitted ”questionable” documentation Tip 1: It should be clear that the documentation comes from the host university. I.e. official course description from the host university (pdf file only) • Home-made pdf: A document with all the relevant information copy/pasted + a direct link to the relevant websites and/or screen shots copy/pasted Tip 2: Do an effort to make it easy – it will make the process faster for everyone •. . (36) WHEN DO YOU APPLY FOR PRE-APPROVAL? Apply for pre-approval when 1) You are familiar with the courses you have access to at the host university 2) the relevant course descriptions are available (alternatively you may use descriptions from the previous year) 3) the semester start is approaching (6-8 weeks before semester start) Deadline? No deadline. But! Up to 2 months for processing Changes? Your pre-approval is binding. Only if you have a good reason you can submit a new application including the changes. You need to submit documentation of the reason for making changes. Tip: Ask your host university when the course descriptions are available and when the deadline is for changing courses. . (39) CREDIT TRANSFER Apply as soon as you have returned from your Study Abroad and have received your transcript incl. a description of the grading scale from your host university. There is no deadline! Rules and regulations •. Courses will only be transferred in groups of 5,10, 15, 20, 25 or 30 ECTS. •. Total number of credits (not individual courses) are rounded down and not up. Examples •. If you take 4 courses worth 8 ECTS = total of 32 ECTS, you can transfer 30 ECTS. •. If you take 4 courses worth 7 ECTS = total of 28 ECTS, you can transfer 25 ECTS. Note: Courses passed during study abroad will be transferred as passed.
